A business card with a QR code lets the contact save your information to their address book with a single scan, without typing anything. The secret is in the right type of QR: one of the vCard type that creates the contact directly on the phone, not a link to a website the user has to save manually. This guide explains how to create it, what data to include and where to place it.

What is a vCard QR and how does it work?

A vCard QR encodes contact data in standard format. When scanned, the phone offers to save the contact to the address book without typing anything.

The vCard format (.vcf extension) is the universal standard for exchanging contact data between systems: iOS, Android, Outlook, Gmail and any address book understand it. When you encode a vCard in a QR, the phone recognises the format on scanning and directly launches the 'Save contact' dialogue.

This is different from a QR that points to a URL. A URL QR takes the user to a website where they can see the contact data, but saving it to the address book requires a manual step. What data should you include in a business card vCard QR?

The minimum fields are name, phone and email. Adding company, title and website improves usefulness. Address only if relevant for that contact.

The vCard format accepts dozens of fields, but on a business card you need to choose those the contact actually uses when saving a number.

Required fields:

• Phone (mobile preferred, with international prefix: +44 for UK, +1 for US)
• Email

Recommended fields:

• Personal or company website URL

Optional fields depending on context:

• Profile photo: the vCard format accepts a base64 image. It adds weight to the QR, so only use it if the QR is large enough (minimum 3.5 x 3.5 cm on a card).

Format tip: phone in E.164 format (+44712345678, no spaces or hyphens) guarantees the phone recognises it correctly in any country.

What is the difference between a static vCard QR and a dynamic vCard landing page?

A static vCard QR works without internet but cannot be updated. A dynamic landing page is editable but requires a connection for the user to save the contact.

This difference defines when to use each option.

Static vCard QR: The contact data is encoded directly inside the QR. When the user scans it, the phone reads the vCard without needing an internet connection. Works on the Underground, on a plane, anywhere without signal.

The problem: if you change your phone number, company or email, you have to generate a new QR and reprint the card. All old card stock will have outdated data.

Dynamic vCard landing page: The QR points to a URL that loads a page with your contact profile and a .vcf download button. The user taps the button and the phone saves the contact. If you update the data in the dashboard, the next scan downloads the new data.

Requires an internet connection to work. And the process has one more step: the user arrives at the page, taps the download button, saves the .vcf. Not as direct as the static vCard, but editable.

Which to choose?
• If your data is unlikely to change soon (established freelancer, stable company), the static vCard is more direct and works without internet.
• If you change company, number or website frequently, the dynamic landing page avoids reprinting cards every time.

Where should you place the business card QR for it to work?

The back of the card is the usual location. An email signature and LinkedIn take the QR to contacts who never see the printed card.

The vCard QR does not have to live only on the paper card. There are four media where it works well.

Physical card: The back of the card is the standard location. Minimum size: 2 x 2 cm for reading at 15-20 cm. Add a short text below the QR: 'Save my contact' or 'Add to your address book'. Without that text, many contacts do not realise they can scan it.

Email signature: You can embed the QR as an image in your email signature. Not all email clients show images by default, but when they do, the contact can scan the QR from their computer screen with their phone. Minimum size for screen: 150 x 150 pixels.

LinkedIn profile: LinkedIn lets you add an image in the 'Featured' section or in articles. You can put the vCard QR in that section with the text 'Save my direct contact'. Works especially well for contacts who reach your profile but do not formally connect with you.

Presentations and speaking materials: If you give talks or presentations, a final slide with a large QR (8 x 8 cm or more on screen) lets the audience save your contact while you finish the session. More effective than asking them to note down a URL.

Does a vCard QR work the same on iPhone and Android?
Yes. iOS has recognised the vCard format since version 11 with the native camera. Android recognises it from version 8. In both cases, the contact-saving dialogue appears automatically on scanning, without any additional app.
Can I include a photo in the vCard QR?
The vCard format allows a base64 photo inside the code. The result is a denser QR (more dots), which requires a larger print size to scan reliably. If you include a photo, print the QR at a minimum of 3.5 cm x 3.5 cm and use error correction level M, not H.
Does the vCard QR save the contact with a photo in the address book?
If you include the photo in the vCard and the device processes it, yes, it appears with a photo in the address book. Modern iOS and Android support this, but some third-party address book apps ignore the photo field. Can I use the same QR on the card and in the email signature?
